Workday represents a significant change for the Northwest community, and we are committed to ensuring employees feel informed, prepared, and supported throughout the transition.

Our team is actively assessing Workday skills and responsibilities to determine what each employee group needs to know and the most effective timing for that learning. This includes engaging campus stakeholders, partnering with our implementation consultant, Alchemy, collaborating with the Change Network, and analyzing Workday testing scenarios.

Our approach is centered on delivering the right training at the right time in a format that is clear, practical, and manageable. Additional details about training formats, course content, timelines, and available resources will be shared soon. You can expect ongoing support beginning prior to go-live and continuing well beyond implementation to ensure long-term success.

User Readiness Review (URR)

URR will take place May 4 – 7, 2026 for Northwest faculty and staff employees. URR will feature hands-on sessions where end users test common tasks and provide feedback.

URR sessions will include topics such as:

  • Workday: Manager Self Service for Leaders of People
  • Special Topics such as expenses, purchasing, and hiring

Training Courses

Workday: Introduction and Navigation

This foundational course introduces all users to the Workday platform, with a focus on user experience, key terminology, and system navigation. Participants will learn how to navigate the Workday home page and global navigation menu, use the search toolbar and filters, locate tasks and reports, manage notifications, and customize account preferences. Ideal for first-time users or anyone seeking a system orientation before role-specific training.

Workday: Employee Self Service for Faculty & Staff

This course covers the essential self-service tasks faculty and staff will perform in Workday on a day-to-day basis. Topics include updating personal and contact information, managing benefits elections, viewing payslips, requesting time off, and managing absence balances. This course should be completed before enrolling in any role-specific training such as Expenses or Recruiting.

Workday: Introduction to Finance (the FOAP crosswalk)

This course provides an overview of Workday's financial structure and introduces the transition from Banner FOAP codes (Fund, Organization, Account, Program) to Workday Cost Centers and Worktags. Participants will understand how legacy financial coding maps to Workday's chart of accounts framework and how to apply the correct financial worktags when completing purchasing, expense, or budgeting transactions.

Workday: Payroll Essentials for Employees

This course covers the payroll-related tasks employees will manage directly in Workday. In addition to viewing and updating payroll information, participants will learn how to enter and track their own working hours, request time off, and monitor absence balances through self-service features in Workday. These tools empower employees to manage their schedules and leave requests efficiently within the platform.

Workday: Leaders of People

This course is designed for managers and covers the key tasks required to manage their teams in Workday. The course provides a comprehensive overview of the essential processes that support effective team management and ensures managers are equipped to handle their day-to-day responsibilities using Workday’s Manager Self-Service functionality including tasks related to time, absence, talent, and compensation.

Workday: Payroll Essentials for Leaders of People

This course builds on the Leaders of People course and focuses specifically on payroll-related supervisory tasks. Participants will learn how to review, approve, and manage payroll-related actions for direct reports, including time entry approvals, absence requests and understanding payroll calendars as they apply to the teams they supervise.

Workday: Amazon Punchout

This course covers the Amazon Punchout process in Workday, which replaces direct Amazon purchasing and credit card usage. Participants will learn how to initiate a purchase requisition using the Amazon Punchout catalog, navigate the integrated Amazon shopping experience within Workday, and submit and route orders through the proper approval workflow.

Workday: Expenses (Reimbursement & Credit Cards)

This course covers the full expense management process in Workday, including creating and submitting expense reports for reimbursement, creating spend authorizations, and managing credit card transactions. Participants who approve expenses for their departments will also learn the approval workflow process within the Expenses Hub.

Workday: Procurement & Suppliers

This course covers the procurement process in Workday, including creating purchase requisitions for catalog and non-catalog items, navigating supplier punchouts, understanding purchase order workflows, and submitting supplier invoice requests. Participants will also learn how to request a new supplier and locate purchase orders and requisitions in Workday.

Workday: Recruiting & Hiring: Faculty

This course is designed for those who manage or participate in the faculty recruiting, hiring, and onboarding process. Participants will learn how to create a job requisition for faculty positions, manage candidate pipelines, move candidates through the hiring workflow, and complete onboarding steps within Workday.

Workday: Recruiting & Hiring: Student Employees

This course is designed for supervisors of student employees and covers the full lifecycle of student employment in Workday, including creating student job requisitions, managing the hiring and onboarding process, and initiating terminations. Supervisors will also learn how to manage student time entry and approve student hours within Workday.

Workday: Recruiting & Hiring: Staff

This course provides an overview of the recruiting, hiring, and onboarding process for exempt and non-exempt staff positions in Workday. Participants will learn to initiate job requisitions, review and manage applicants, extend offers, and complete the onboarding and termination processes for staff employees.

Workday: Employee Self Service for Student Employees

This introductory course is tailored specifically for student employees and covers the Workday self-service tasks they will use most frequently. Topics include navigating the Workday home page, entering and tracking time, viewing payslips, updating personal and contact information, and managing payment elections. This course serves as the student employee's entry point to the Workday platform.
