Producing New Publications
The Office of University Relations produces most printed pieces such as brochures, posters, booklets, programs and invitations for University groups who pay for the printed piece using University funds. Turnaround time from the day you contact us about creating a project to the day the piece is back from the printer depends on complexity of the project, quantity, and designers’ work load. We typically need at least two weeks to design a project (more time for complex pieces), and the printer requires 1-2 weeks for printing depending on the piece.
Before you contact us, please know:
- Deadlines: know when you need to have the printed piece finished and in your hands.
- What message you want to communicate. Please do not wait until you meet with one of our designers to come up with your text.
- How much you can afford to spend.
- Quantity needed (needed to figure cost estimates).
- If the piece is to be mailed, what sort of postage is required?
- If the piece is to be mailed, will it need to go through the PostalSoft system in Computing Services? This method of addressing pieces restricts the design of materials we can use for the project.
- We do not accept floppy disks. Any information that fits on a floppy disk will fit in an e-mail attachment.
- When you meet with us, bring a completed (signed and filled out) PR/PO
Submitting Copy and Proofing
- Make an appointment with a designer.
- Submit, preferably electronically, final text that has been edited at least twice.
- Discuss with the designer any ideas you may have, deadlines, paper type, size, number of ink colors, quantity, account number/title to charge, mailing requirements and any other pertinent information.
- After you have submitted ALL your information, a designer will create a mockup of the piece, which we call a proof. All clients are required to carefully check this proof and mark any changes on it. Please do not call us with changes or e-mail lists of changes, because this runs the risk of miscommunication and error. These proofs are for the purpose of finding typographical errors or serious layout problems – it is not the copy editing phase.
- We will make any changes marked and provide you with up to three proofs. After approval we will send the piece to be printed. You will be required to sign the proof approval form, and thereafter University Relations is not responsible for any typographical or production errors that might result in the finished piece, your department will be responsible for reprinting costs.
